Guests vs groups

Guests are the individuals attending your wedding. Groups are how you organise guests for the purpose of sending communications — each group has a single contact address (email or phone number) that receives messages on behalf of everyone in it.

{info} A typical setup: one group per household, with a contact email for the head of that household. All guests in the household are added to the group.

Adding a guest

Click New Guest from the Guests tab. You'll be asked for:

  • Name — the guest's full name
  • Side — Partner 1, Partner 2, or Joint
  • Group — which contact group they belong to (optional but recommended)

Plus-ones

A plus-one is a guest who is attending as the guest of another guest. When adding a guest, you can mark them as a plus-one and link them to their primary guest.

Plus-ones are shown with a blue badge in the guest list. Clicking the primary guest's name on that badge takes you straight to their profile.

{info} Plus-ones inherit their primary guest's group membership automatically.

To edit a plus-one's details — including their name and link to a primary guest — open the primary guest's detail page and use the edit controls in the plus-ones section.

Guest sides

Each guest can be assigned to a side:

  • Partner 1's side — guests from the first partner's family/friends
  • Partner 2's side — guests from the second partner's family/friends
  • Joint — mutual guests, or those not associated with a particular side

Sides are used for filtering in the guest list and can help with seating and catering planning.

Guest detail page

Clicking a guest's name opens their detail page, where you can:

  • Edit their name and side
  • Change or remove their group assignment
  • See which wedding parts they're invited to and their RSVP status for each
  • View any messages sent to them
  • Manage any plus-ones linked to them

Updating attendance

You can update a guest's RSVP status directly without them needing to re-submit their response. On the guest detail page, use the attendance control next to each wedding part to set their status — accepted, declined, or awaiting response.

This is useful for recording responses received by phone, post, or in person, or for correcting a response on a guest's behalf.

Deleting a guest

To remove a guest, open their detail page and scroll to the bottom. Click Delete Guest and confirm when prompted. Deletion is permanent and cannot be undone.

{warning} Deleting a guest removes them from all wedding parts, cancels any pending invitations to them, and removes their RSVP responses. If the guest is a primary guest with plus-ones linked to them, the plus-ones are also deleted.

Creating a group

Switch to the Groups tab and click New Group. You'll need to provide:

  • Group name — something descriptive like "The Smiths". N.B. this is how their invitation will be addressed.
  • Contact type — Email or Phone
  • Contact address — the email address or phone number messages will be sent to

{warning} Each group has one contact address. Make sure it's correct before sending any messages — you won't be prompted again.

Filtering and searching

The guest list has a search bar and two filters:

  • Type — filter by Guest or Plus-One
  • Side — filter by Partner 1, Partner 2, or Joint

The groups list also has a search bar. Click any group row to open that group's detail page.

Importing guests

If you already have your guest list in a spreadsheet, you can import it directly rather than adding guests one by one. Click Import Guests from the Guests tab, then upload your file.

Supported formats are .xlsx, .xls, and .csv. Files are processed in the background — you'll see a confirmation once the import is complete.

Downloading the template

Click Download a template inside the import modal to get a pre-formatted spreadsheet. The template includes all the standard columns plus one column for each of your wedding parts, so you can indicate which guests are invited to which parts of the day.

Column reference

How guests are matched

When you run an import, existing guests are matched by name and email together. If a match is found, the guest's record is updated rather than duplicated. If no match is found, a new guest is created.

{warning} If a guest's name or email has changed since they were first added, the import will not recognise them and will create a duplicate. Double-check the spelling in your spreadsheet matches what's already in the system.

Groups

If you include a Group name, the guest will be placed into that group. If the group doesn't exist yet, it will be created automatically.

The first guest in a new group who has an email address will have that address set as the group's contact address. The email is also kept on the guest record itself.

{info} If the group already has a contact address, it will not be overwritten — even if the spreadsheet row includes a different email.

Side values

The Side column accepts your partners' names exactly as they appear in your wedding settings, or the word Joint. Anything else is ignored and the guest's side is left unset.

Plus-ones

To mark a guest as a plus-one, enter the primary guest's exact name in the Plus One Of column. The primary guest must appear in the spreadsheet before their plus-one.

Plus-ones inherit the primary guest's side and group automatically.

If you want to include an unnamed plus-one — for example, a guest whose name you don't yet know — leave the Name column blank and just fill in Plus One Of. The system will assign a placeholder name automatically, such as Jane Doe Plus-One (1). You can update the name from the guest's detail page later.

Wedding parts

For each wedding part column, enter Yes (or Y, 1, True, X) to invite the guest to that part. Leave the cell blank to exclude them.

Exporting guests

Click Export from the Guests tab to download your guest list as a CSV. The export includes all guest fields and is useful for sharing with caterers, venue managers, or for keeping an offline copy.
